How to share timelines and project views with others

All account owners have the ability to choose how you share timelines. It works slightly differently for regular timeline projects vs timelines created with the Classic timeline editor.

When you create a new timeline, in the project editor window you set who can edit (and view) the timeline by choosing the Editable by: ‘Account members’ or ‘Just me’.

By default Timetoast projects (and their views) are only accessible by members of your account (or just by yourself if you chose that option when creating it).

Sharing a project view

To share one of your project's views, first switch to the view you would like to share by clicking on its name (e.g. Grid view, Horizontal view etc.) in the view switcher. The view switcher shows as tabs on large screens and as a dropdown on small screens.

Once you have selected the view you would like to share, click on the three dots to access the current view's actions menu. Click on ‘Share view’ to open up the sharing panel.

Sharing a project view

The view share panel will show you who can access the view. By default, this is only the people who have access to the project. If you want to share a link with someone who doesn't have access to the project, you'll need to generate a public link to share with them. This can be done by updating the 'Public access' option.

In the View Share panel you can choose between two options:

  • Private - Only collaborators: Only those with access to the project will be able to access the view via the project page.

  • Anyone with link: Anyone who has the link can view it, even if they are not signed in to Timetoast. Search engines may also index this view. This allows you to share the timeline view with anyone; they do not have to be a Timetoast user.

To share the view outside your account, change “Public access” to “Anyone with link” and copy the public link from the share panel. This will make the view publicly accessible.

Tip: If you are on your project page, simply copying the url (address in the browser) won't work as the project url is not externally accessible. You must use the 'copy' button in the share panel to copy the publicly accessible link.

Common Sharing Questions

How do I share a view in Google Classroom, email, or another app?

To share a Timetoast view anywhere outside Timetoast, first open the view you want to share, then open the three dots menu and click Share View. Set Public access to Anyone with link, then use the copy button in the share panel. You can then paste that link into Google Classroom, email, a message, or any other app.

Can I share more than one view?

Yes. Each view has its own share link, so if you want to share more than one view, repeat the process for each one.

For example, you could share both a Grid view and a Horizontal timeline view by generating a public link for each.

If I make changes later, will the shared link update automatically?

Yes. The shared link continues to point to the same view, so if you update the project later, the shared view will show the latest version.

You do not need to generate a new link after making edits, unless you change the view’s access settings.

Why doesn’t copying the browser URL work?

The URL in your browser is the internal project page, which is not externally accessible. To share a view with someone outside your account, you must use the public link generated in the Share view panel.

Who can open a public shared view?

Anyone who has the public link can open the shared view, even if they are not signed in to Timetoast.

Can search engines index a shared view?

Yes. If a view is set to Anyone with link, search engines may index it. Only use this option for content you are comfortable making publicly accessible.

Tip: If you want to share two different views, each one needs its own public link. If you later edit your project, those existing links will continue to show the updated content.

Privacy and sharing in Classic (legacy)

Classic timelines are no longer being developed, and we no longer offer plans that include access to the Classic editor.

If you have created a Classic timeline, you set the Publish status to either Draft or Published in the timeline editor window. On the free plan, you can have one draft timeline.

Published timelines are listed on the site and all site visitors can view them. They can be indexed by search engines. Draft timelines are not listed on the site.

You can share a published timeline with anyone; they do not have to be a Timetoast user.

Publishing a Classic timeline or making it draft/unpublished

You can publish timelines (or make it draft/unpublished) directly from your timeline dashboard page or the timeline edit page.

  • From your dashboard: Tap or click on the triple dot icon next to your timeline title, then click on or drag the slider from/to draft to/from published.

  • From the timeline edit page: Tap or click on the triple dot icon and click on or drag the slider from/to draft to/from published

Sharing a Classic timeline

To share your timeline, tap or click on the triple dot icon in the timeline header and select ‘Share’. This will bring up a window to share or embed. Embedding timelines is available on our premium plans.

If your timeline is published, there will be a public link, which you can copy and share. Anyone with the public link will be able to access the published timeline.
